Email Express: Micro-sessions on Email Writing and Etiquette

Your messages need to clearly communicate detailed information and get results. But how can written words convey the tone that you intend? Should you start with a friendly salutation and include personal content, or should you stick to business? And how do you make it easy for your recipients to read and understand your instructions? This workshop series combines basics of business writing and etiquette into an email-production system that puts your recipients at ease and helps them to act on your requests.

This workshop is offered within organizations for groups of 5 people or more.

Course duration: 1 hour per session

Learning Outcomes
By the end of this workshop series, you will be able to:
•    decide when to use email—and when to communicate another way
•    choose who to send and cc your messages to
•    target your content and tone to your reader’s knowledge, interests and state of mind
•    communicate politely, professionally and positively
•    write effective subject lines
•    include the appropriate amount of detail
•    express your message clearly and close with a specific call to action
•    write efficiently and catch your errors before you send
•    deal effectively with message strings
•    use Outlook’s tools to manage your inbox

Each of the three sessions in this series will entail:

•    a pre-session email to participants that outlines the coming session and provides a preparatory exercise
•    a 1-hour group workshop with the trainer
•    a manual containing notes, tools and a resource list, customized for the OHSNI
•    personalized exercises based on the workplace’s documents and situations

Session 1: Write For Your Reader
•    realize email’s strengths and weaknesses
•    work within the communication loop
•    know your reader
•    use good manners
•    write in clear language, using layout to add readability
•    select an appropriate tone
•    decide who to address, cc and bcc

Session 2: Select Your Content
•    include enough detail, but only what your reader needs to know right now
•    arrange your content in a logical order
•    write a specific subject line
•    include a clear call to action
•    deal effectively with message strings

Session 3: Follow an Efficient Writing Process
•    set up your method
•    follow house style
•    use checklists and templates
•    catch errors and omissions with a quality-check process
•    use Outlook’s email management tools

Who Should Attend This Workshop Series?

This workshop will benefit everyone who wants to write polite, efficient emails that get results and contribute to a positive work environment. No previous writing training is necessary.
